What Every Plan Has in Common

There are some meaningful differences between the Workspace plans, which we will get into shortly, but one thing stays constant: every plan gives you the full lineup of Workspace apps. Gmail, Drive, Calendar and Meet are all there, and even the cheapest Starter plan includes basic access to Google's other apps, such as NotebookLM and the Gemini built into the Workspace suite.

Which Google Workspace Plan Is the Best?

Google offers four Workspace plans in total, though only three matter for most people. Those are Starter, Standard and Plus. The fourth, Enterprise, is only available if you reach out to Google's sales team. None of the plans has a minimum number of users, but the bottom three options (Starter, Standard and Plus) support up to 300 users. If you need more than that, an Enterprise plan is your only route.

While you get access to every app no matter which plan you pick, the differences still matter, especially between Starter and Standard. Both include secure storage through Google Drive, but Starter gives you 30GB per user while Standard comes with a hefty 2TB per user. Plus pushes that to 5TB per user. Across all three plans, storage sits in a shared pool, so each extra user adds to the total amount your organization can draw on.

Where Gemini Comes In

Gemini is another big dividing line between Starter and Standard. Both have access to the Gemini app, but on Starter, Gemini only works inside Gmail and Vids. Standard (and Plus) bake Gemini into the full suite, including Docs, Sheets, Slides, Drive, Meet and Chat.

Who Starter Is For

Starter is a great pick for anyone just getting going, whether you are a freelancer or a small business with a handful of employees. Alongside 30GB per user and limited Gemini access, Starter carries a few other restrictions. It does not support e-signatures in Docs, nor advanced Meet features such as noise cancellation. The core of Workspace is all present, though. You get a custom domain in Gmail, up to 100 participants in Meet, and the complete Google suite of productivity apps.

Standard, the Real Workspace for Teams

As the name implies, Standard is Workspace proper, and it is built for teams that need room to grow. That is clearest in the storage jump, which climbs from 30GB to 2TB per user. Standard essentially clears away nearly all of Starter's restrictions. There are no limits on Gemini (it is available across the full suite), Meet features like noise cancellation are unlocked, and you can host up to 150 participants in a Meet call. Standard even comes with expanded access to NotebookLM, Google's AI-driven note and research tool, with different chat modes and up to 20 generative audio overviews per day.

Plus, Aimed at Larger Businesses

At the top of the range sits Plus, which is focused on larger businesses. You do not get any extra apps with this plan, but you do get 5TB of storage per user, plus up to 500 participants in Meet calls. The real reason to step up to Plus, however, is security and admin controls. It includes Vault for data retention, along with LDAP access, which in plain terms is a server for centralized account management.

For most people, Standard is the plan to choose, not only for the much larger storage over Starter but also for the extra Gemini functionality. If you ever need to upgrade to Plus down the line, you can. And more than likely, someone on your IT team will be the one urging you to do exactly that.

Why Teams Are Embracing Workspace Flows

Over the past several months Google has reworked Workspace a great deal, weaving new Gemini-powered features throughout the suite. But earlier this year, Google announced that it is pulling all of those capabilities together through Workspace Flows. It is a no-code automation tool that lets you build workflows that run on their own, for instance updating a Sheet whenever a new email arrives in Gmail from a specific address. The most interesting part of Flows is that Gemini is built right into it.

You can set up basic automations, which is handy given how interconnected Google's Workspace apps already are, but Flows really come alive once you bring Gems into the picture. Gems are AI agents built with Gemini, and you can create them with specific parameters.

Here is an example. Say you need a marketing plan, and an employee sends you a draft. You could set up a workflow with a Gem that has been trained on the campaign's budget, requirements and tone, so it can quickly tell whether the draft is ready to approve or not. Alternatively, you could build a Gem to scan your inbox, trained on your organization chart and role responsibilities, so it notifies you whenever an email lands with action items meant for you.

Flows give you a way to add a bit of context and reasoning to the often rigid limits of simple automation systems, and they can save you a lot of time in the process. You might already be able to gather customer feedback and drop it into Sheets with ease, but Gemini can automatically sort, summarize and categorize that feedback so you know what to tackle first. On top of that, Flows live entirely within Workspace. You do not need to install add-ons or configure anything beyond setting up your Workspace account.
